How to reply to a 1-star Google review (with examples)

Updated · By LocalPulse team

Reply within a day or two and keep it short and calm: thank the reviewer, apologise for the experience they describe, say what you are doing about it and invite them to contact you directly. To post it, open your Business Profile in Google Search or the Google Maps app, go to Read reviews, tap Reply under the review, write your reply and tap Reply again.

Why reply to a 1-star review at all

The person who left the review is rarely the only one who reads your reply. Everyone who checks your listing before visiting sees how you handle a complaint, and a calm, specific reply often tells them more about your business than the review does.

Google also tells the reviewer when you reply, and they can edit their review afterwards. A fair reply is the only tool you have that can change a 1-star review, because businesses can’t delete reviews.

The four parts of a good reply

Keep it to three or four sentences. Reply within a day or two, while the visit is still fresh for both of you.

  1. Thank them by name. “Hi Ravi, thank you for telling us.” It shows a person read the review, not a bot.
  2. Apologise for the specific thing. Name what went wrong in their words: the 40-minute wait, the cold food, the surprise on the bill. A vague “sorry for any inconvenience” reads as copy-paste.
  3. Say what you are doing about it. One real change, such as a new step at the front desk or a word with the kitchen. Only write what you have actually done.
  4. Take it offline. Invite them to call or message you directly. Arguing the details in public never ends well.

Examples you can adapt

The names and businesses below are made up. Change the details so the reply matches what really happened.

Restaurant: cold food and a long wait

“Waited 50 minutes for two plates of biryani and it came cold. Never again.” · ★☆☆☆☆

Hi Ravi, thank you for telling us, and we’re sorry your biryani took 50 minutes and arrived cold. That isn’t the meal we want anyone to have. We’ve added a second person on the pass during the dinner rush so orders go out hot. If you call us and ask for the manager, we’d like to make it up to you.

Clinic: a long wait for an appointment

A clinic should never confirm in public that someone is a patient, or mention a diagnosis or treatment, even if the reviewer did.

“Two hours past my appointment time and the reception staff were rude when I asked why.” · ★☆☆☆☆

Thank you for your feedback. We’re sorry to hear about a long wait and an unhelpful answer at the desk; that’s frustrating, especially when you aren’t feeling well. We now tell everyone waiting when a doctor is running late. To protect your privacy we can’t discuss any visit here, so please call the clinic and ask for the practice manager.

Salon: a surprise on the bill

“They charged me ₹600 more than the price on their board. Felt cheated.” · ★☆☆☆☆

Hi Pooja, thank you for raising this, and we’re sorry the bill didn’t match what you expected. That shouldn’t happen. Our stylists now confirm the full price with every client before they start. Please message us on the number on this listing so we can look into your bill.

A review you think is fake

“Worst place in the city. Rude staff, dirty tables.” · ★☆☆☆☆

Hello, thank you for your review. We couldn’t find a record of this visit, but we take comments about our staff and our tables seriously. Please contact us on the number on this listing so we can understand what happened.

Reply politely anyway, then report the review to Google separately (see below). Readers only see your reply, not the backstory.

What not to write

  • Don’t argue or blame the customer. Even when they are wrong, a defensive reply makes you look worse than the review.
  • Don’t share personal details. No bills, phone numbers, booking details or health information, and no naming staff in a dispute.
  • Don’t offer anything to change or remove the review. Google’s rules don’t allow incentives for reviews, including discounts or free services in exchange for taking a bad one down.
  • Don’t paste the same reply under every review. Readers notice, and it tells them nobody read the complaint.

How to post your reply on Google

  1. Sign in to the Google Account that manages your Business Profile.
  2. Open your Business Profile: search for your business name on Google, or open the Business tab in the Google Maps app.
  3. Select Read reviews (in the Maps app, open your reviews).
  4. Next to the review, select Reply.
  5. Write your reply and select Reply again.

Google checks replies before they appear. Most show within about 10 minutes, but some can take up to 30 days. You can edit or delete your reply later.

Can you get a 1-star review removed?

Only if it breaks Google’s policies, for example spam, a fake review, a review of a different business, or offensive content. A genuine bad experience, however unfair it feels, isn’t a policy violation.

  1. Find the review in Google Search or Google Maps and report it.
  2. Follow the decision in Google’s Reviews Management Tool. It shows whether a report is still pending or was reviewed.
  3. If Google decides the review doesn’t break the rules, you can appeal once. The result comes by email.

Doing this from WhatsApp

LocalPulse flags new negative reviews in your morning WhatsApp report. Send “Write a reply to Ravi” and it drafts a reply in these four parts. You read it, change it if you want, and it is posted to Google only after you reply APPROVE with the code it gives you. Nothing is posted without your approval.

Questions owners ask

Can I delete a 1-star Google review?

No. Businesses can’t delete Google reviews. If a review breaks Google’s policies, for example it is spam, fake or off-topic, you can report it from Google Search or Maps and follow the decision in Google’s Reviews Management Tool. If Google decides it doesn’t break the rules, you can appeal once.

How long does my reply take to show on Google?

Google checks replies before they appear. Most are visible within about 10 minutes, but some can take up to 30 days.

Does the reviewer see my reply?

Yes. Google tells the reviewer when you reply, and they can edit their review afterwards. You can also edit or delete your reply later.

Should I reply to a review I think is fake?

Yes, politely. People reading your listing see your reply, not the backstory. Say you can’t find a record of the visit, invite the person to contact you, and report the review to Google separately.
